Suggested Duties

Secretary

  1. Keep minutes of all State Council meetings.

  2. Type the minutes of all meetings which will serve as a history of each year's activities.

  3. Mail out minutes of meetings, flyers on State Council activities, and whatever other notices are deemed necessary.

  4. Keep an accurate listing of member clubs and mail out notices of meetings at least 30 days prior to the meeting,

  5. Be responsible for the State Council typewriter and any other properties of the State Council.

Treasurer

  1. Maintain separate bank accounts for operating expenses and the scholarship fund, in the name of the State Council.

  2. Collect and keep an accurate record of all monies received and disbursements by the State Council.

  3. Pay all bills submitted by authorized persons.

  4. Be authorized to sign checks.

  5. Write checks and keep records of all expenditures by category of expenses.

  6. Obtain the approval of the President before paying any unusual bills.

  7. Balance the bank account monthly.

  8. Notify the Vice-President when scholarship funds have been deposited in the State Council account.

  9. Submit an annual financial statement to the Board of Directors at the Annual Meeting or at the request of the President.
